Fundraising Policy & Parent/Guardian Agreement
1. Purpose
Fundraising is an important part of maintaining affordable and sustainable programming at the Strathmore Water Polo Club. Funds raised help support club operations and may contribute toward expenses such as pool rental, equipment, coaching, tournament costs, athlete development, special events, and other approved club expenses.
This policy is intended to clearly outline fundraising expectations for families participating in the club.
2. Fundraising Expectations by Program
Fundraising expectations are based on the athlete’s program and level of play.
Swim Like a Dolphin (SLAD)
Participation in club fundraising is not mandatory for athletes registered in the Swim Like a Dolphin program.
Families are encouraged and appreciated when they choose to participate. Any support provided through fundraising helps strengthen the club and its programs.
U10 Pups
Participation in club fundraising is not mandatory for U10 Pups families.
Participation is, however, strongly encouraged and greatly appreciated. Fundraising at this level helps families become involved in the club community and contributes to the continued development of youth water polo in Strathmore.
U12–U17 Programs
Fundraising is mandatory for athletes participating in the U12 through U17 programs.
The fundraising requirement will be based on the athlete’s level of play, competitive schedule, and associated program costs.
Higher levels of competition may require a greater fundraising commitment due to increased expenses associated with tournaments, travel, pool time, coaching, equipment, provincial competition, championships, and other competitive opportunities.
The Club will communicate the fundraising expectations for each program or competitive level at the beginning of the season or as soon as the competitive schedule and associated costs are known.
3. Fundraising Requirements
The Strathmore Water Polo Club may establish:
- A minimum fundraising amount per athlete;
- A minimum number of fundraising activities that families are expected to participate in;
- Specific mandatory club-wide fundraising campaigns;
- Team-specific fundraising requirements when additional competition or travel expenses are anticipated; and/or
- Different fundraising expectations based on an athlete’s age group or competitive level.
Families will be informed of applicable expectations before or at the beginning of each fundraising campaign whenever possible.
4. Family Participation
For families with more than one athlete registered in a mandatory fundraising program, the Club may establish family-based or athlete-based fundraising requirements depending on the fundraiser.
The expectations for each fundraiser will be clearly communicated before the fundraiser begins.
Parents/guardians are responsible for ensuring that fundraising orders, payments, forms, and other required materials are submitted by the established deadlines.
5. Fundraising Proceeds
Unless otherwise identified before a fundraiser begins, money raised through Club fundraising activities becomes the property of the Strathmore Water Polo Club and will be used to support approved Club programs and expenses.
When a fundraiser is designated for a particular team, tournament, age group, or purpose, proceeds will be allocated according to the terms communicated for that fundraiser.
Fundraising proceeds are not considered personal funds belonging to an individual athlete or family unless specifically permitted under Club policy and applicable rules.
6. Fundraising Shortfalls
Families participating in U12–U17 programs are expected to meet the fundraising requirements established for their athlete’s level of play.
If a family is unable to meet a required fundraising commitment, the parent/guardian should contact the Club as soon as possible.
Where appropriate, the Club may provide:
- An alternative fundraising opportunity;
- An alternative volunteer opportunity connected to fundraising;
- An option to pay the outstanding fundraising commitment; or
- Another arrangement approved by the Club Executive.
The Club’s goal is to establish reasonable expectations while ensuring that the financial responsibilities associated with competitive programming are shared fairly among participating families.
7. Financial Assistance and Exceptional Circumstances
The Strathmore Water Polo Club recognizes that families may experience exceptional financial or personal circumstances.
Families who are concerned about meeting a mandatory fundraising requirement are encouraged to contact the Club Executive privately.
Requests will be considered respectfully and confidentially on a case-by-case basis.
8. Conduct During Fundraising
Athletes and families represent the Strathmore Water Polo Club when participating in fundraising activities.
All participants are expected to:
- Treat customers, businesses, volunteers, athletes, and other families respectfully;
- Accurately represent the purpose and price of fundraising products or activities;
- Safeguard any money collected;
- Submit collected funds promptly;
- Follow Club instructions regarding payment methods and deadlines; and
- Conduct fundraising activities in a manner that reflects positively on the Strathmore Water Polo Club.
9. Fundraising Communication
The Club will make reasonable efforts to provide families with clear information regarding:
- The purpose of each fundraiser;
- Who is required to participate;
- Fundraising targets or expectations;
- Important dates and deadlines;
- Product pricing, where applicable;
- Payment and order submission procedures; and
- How the proceeds will be used.
10. Policy Review
The Strathmore Water Polo Club Executive may review and update this policy as required.
Fundraising requirements, amounts, and opportunities may change from season to season depending on registration numbers, pool costs, competition schedules, program expenses, and the financial needs of the Club.
Families will be advised of significant changes to fundraising expectations.
